The short version

1. Who is responsible

Chief is run by Rocket Role, Inc., doing business as Pod Engine, a Delaware corporation in the United States ("we", "us"). It is the controller of the personal data described here. Contact: [email protected], or message Chief on Telegram.

2. What we collect

When you apply on chief.fm. Your show's name, your Telegram username, the time, and the IP address the application came from. The page sets no cookies and has no analytics or advertising trackers. Its fonts are loaded from Google Fonts, so Google sees your IP address when the page loads.

When you talk to Chief on Telegram. Your Telegram chat ID, username and first name. Every message you send Chief, every message Chief sends you, and the buttons you tap. Do not send Chief anything you would not want kept, such as passwords, payment details, or sensitive information about yourself or other people.

What Chief notes down. Chief keeps notes so it can work for you: a profile of you and your show, rules you have given it, a running recap, and notes on the people, brands and work you have discussed. It also keeps short facts drawn from your own messages ("prefers intros by email"). You can ask Chief to forget one.

Your show. Chief reads your public feed, your episodes and their transcripts, chart positions, and the sponsors and guests on your show and on shows like yours. It has your show's recent episodes and each new one transcribed by Pod Engine, our own podcast data service. Transcripts include what your guests said on the published episode.

Your work with Chief. The emails Chief drafts for you, whether you told it you sent one, your answers to its questions, where you are in the trial, and whether you have paid. Chief does not connect to your inbox, so it never sees your email or your replies unless you paste them into the chat.

Payment. Stripe takes payment. We see that you paid, how much and when. We never see your card number. The payment link Chief sends you is our own address, so we also record when you open it and which price you chose, before you reach Stripe.

What it costs us. A log of each AI call made for you and its cost.

3. People Chief looks up for you

When Chief finds a contact at a brand, or researches a possible guest, it collects that person's name, role, company, public profile link and, where it can be found, a work email address. This comes from public web pages and from data suppliers. We use it only so a host can make a relevant business approach, and we keep it in that host's notes.

4. What we use it for

We may publish what we learn across hosts, as totals and in a form that does not identify you. We may quote something you wrote without your name or your show's. We will ask before using a quote with either.

We do not sell your data or share it for advertising, including as those words are defined in California law.

5. Who else sees it

We use other companies to run Chief. Each gets only what it needs for its part.

TelegramCarries every message between you and Chief. Telegram holds those messages under its own privacy policy.
Google (Gemini API)The AI models behind Chief. Your messages, Chief's notes and transcripts are sent to it to produce Chief's replies. We use its paid service: Google does not use this data to train its models, and keeps it for up to 55 days to watch for abuse.
TypeSafeChecks Chief's drafts for unsupported claims. It receives sentences Chief has written and the evidence for them.
Bright Data and AnymailfinderFinding the right person at a brand. They receive the brand and the name of the person being looked up, not your conversation.
StripePayment.

We are a United States company, and these companies process data in the United States and other countries. Where the law requires safeguards for moving personal data between countries, we rely on ones such as standard contractual clauses.

We may also disclose data if the law requires it, to protect our rights or someone's safety, or to a buyer or successor if Chief is sold or reorganized, who must keep to this note.

6. Where it is kept, and for how long

Chief's database runs on a computer we own in the United Kingdom and cannot be reached from the internet. The page where our team reads conversations only works on our private network. A backup is made daily and copied to a second computer we own. Backups are kept for up to 90 days.

We keep your conversation, notes and records for as long as you use Chief and afterward, so that Chief can pick up where it left off and so we can learn from the trial, until you ask us to delete them. Applications that do not lead to a trial are kept on the same basis.

No system is perfectly secure. We will tell you if we learn of a breach that is likely to affect you.

7. Your choices

Depending on where you live, you may also have the right to object to or restrict how we use your data, and to receive it in a portable form. We will answer within one month. If you are unhappy with our answer, you can complain to your local data protection regulator. In the United Kingdom that is the Information Commissioner's Office, at ico.org.uk.

8. Not for children

Chief is for people running a podcast as a business. It is not meant for anyone under 18.

9. Changes

We may change this note. The latest version is always on this page with its date. If a change matters to you, Chief will tell you in the chat.
